This Privacy Policy explains how Choice Technology Solutions, LLC (“Cap Share,” “we,” “us,” or “our”) collects, uses, and shares information when you use our event photo and video sharing service at cap-share.com and related features (the “Service”). Cap Share is operated from the United States and is intended for users in the United States. By using the Service, you agree to this Policy.
Who This Policy Covers
Cap Share has two kinds of users. Hosts create and manage event galleries. Guests join an event using its link or code to view and upload photos, videos, and guest book messages. This Policy applies to both.
Information We Collect
- Account information (hosts): email address, and—if you sign in with Google—your Google account name and email.
- Profile information: a display name (and, for some hosts, name and optional phone number) used to label uploads and communications.
- Event information: event titles, dates, time zones, settings, join codes, and any cover image or branding you add.
- Content you upload: photos, videos, and guest book messages, along with the display name attached to them.
- Guest information: the display name a guest enters to join an event and the content they upload.
- Payment information: when you purchase a paid event, payments are processed by Stripe. We receive limited transaction details (such as a transaction identifier and status); we do not collect or store full payment card numbers.
- Technical and usage data: basic log data such as IP address, browser/device type, and timestamps used to operate, secure, and troubleshoot the Service.
- Analytics data: we use Google Analytics, with enhanced measurement enabled, to understand how the Service is used (for example, pages viewed, clicks, scrolls, and similar interactions). This is collected through cookies and similar technologies and may include a device/usage identifier and approximate location derived from IP address.
- Local storage: we store small amounts of data in your browser (for example, your sign-in session, a remembered guest name, your most recently joined event, and your light/dark theme preference).
When you upload a photo, your image is re-encoded in your browser before it is sent to us, which removes embedded metadata such as GPS location and device details.
How We Use Information
We use information to authenticate hosts, let guests join events, process and display uploads, enable host moderation, process payments for paid events, provide customer support, secure and maintain the Service, and comply with legal obligations.
How Information Is Shared
- With other users of an event: content you upload is visible to the event host and, depending on the event’s settings, to other guests who have the event link or code. In host-approval mode, uploads are visible to others only after the host approves them.
- With service providers: we use Google Firebase (authentication and database), Cloudflare (media storage and delivery via Cloudflare Images and Stream), Stripe (payment processing), and Google Analytics (usage measurement). These providers process data on our behalf under their own terms and privacy policies.
- For legal reasons: we may disclose information if required by law or to protect the rights, safety, and security of our users, the public, or Cap Share.
- Business transfers: information may be transferred as part of a merger, acquisition, or sale of assets.
We do not sell your personal information.
Cookies and Analytics
We use cookies, local storage, and similar technologies to keep you signed in, remember preferences (such as your light/dark theme and a remembered guest name), and operate the Service. We also use Google Analytics, with enhanced measurement enabled, to measure and improve how the Service is used; Google sets cookies and may process this data in accordance with Google’s Privacy Policy. You can learn about Google’s practices and opt out using the Google Analytics Opt-out Browser Add-on, and most browsers let you block or delete cookies through their settings.
Data Retention
Event media is retained according to the event’s plan: approximately 90 days after the event date for free events and approximately one year for paid events, after which it is scheduled for permanent deletion. When a host deletes an event, it is hidden immediately and permanently removed, along with its stored media, after about 30 days. Account information is retained while your account is active and as needed to meet legal, accounting, or security obligations.
Security
We use reputable infrastructure providers and industry-standard measures, including encryption in transit, to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Your Choices and Rights
Hosts can remove media and delete events from the dashboard. Guests can delete their own uploads where available, or request removal by contacting the event host or Cap Share. You may request access to or deletion of your personal information by emailing us. Depending on where you live, you may have additional rights under applicable laws (such as the California Consumer Privacy Act); we will honor verified requests as required by law.
Children’s Privacy
The Service is not directed to children under 13, and we do not knowingly collect personal information from them. Hosts should not invite children to upload content without appropriate parental or guardian consent. If you believe a child has provided us information, contact us and we will delete it.
Changes to This Policy
We may update this Policy from time to time. When we do, we will revise the “Last updated” date above. Material changes will be communicated through the Service. Your continued use after changes take effect constitutes acceptance of the updated Policy.
